Position: Supply Chain Co-ordinator

Reporting to: Head of Operations - APAC

Position summary

We are looking for a bright, dynamic individual to join our small and busy team in Melbourne, Australia in the role of Supply Chain Co-ordinator. Your daily duties will include processing orders, packing / dispatching orders for ecommerce, managing customer service and rectifying any issue’s which may occur. This role will work closely with operations, sales, finance, and marketing in managing the day to operational requirements of the Australian business. This is a hands-on role, perfect for someone who is starting out in supply chain and is keen to learn the ropes in a small business while getting exposure to how a global business operates.

This role requires you to be organized, detail oriented, thorough, and efficient with a positive attitude and enjoy working in fun, super-fast-paced environments.

This position will work closely with the Inventory Manager and will report into the Head of Operations for Asia Pacific.


Key Result Areas 


Stock Control 

  • Work efficiently with 3rd party warehousing to manage inventory / warehousing and logistics daily
  • Assist in managing stock enquiries from internal and external stakeholders
  • Assist in Co-ordinating stock takes and ensure inventory system is always up to date
  • Assist in managing EOM process

Order Fulfilment 

  • Coordinating and processing daily orders including EDI orders for major customers.
  • Organise and manage deliveries for local customers 
  • Release orders whilst managing stock allocation.
  • Report on stock replenishment & order fulfilment
  • Provide clear & concise communication to customers around availability/delivery dates/backorders
  • Ensure correct batches are dispatched as per Inventory Manager’s inventory plan and direction
  • Complete daily tasks such as invoicing customers on delivery date, updating SOH, etc. 

Customer Service

  • Present Customer Service excellence by exhibiting and instilling a “customer first” mindset.
  • Build strong relationships with all supply chain partners and customer contacts.
  • Ensure customer master data is accurately maintained
  • Effectively communicate expected delivery time lines with customers and clients.
  • Communicate risks with Australian team when raised by customers 
  • Work with UK team around reporting monthly customer service results

Ecommerce Order Management

  • Inventory management including unpacking supplier orders, restocking and stock rotation.
  • Pick and pack e-commerce web-shop orders.
  • Unpack and process returns from customers.
  • Inform customers of tracking details 
  • Work with Global Ecommerce Manager concerning forecasting 
  • Work with Marketing Manager around setting ecommerce experience 

Continuous improvement


  • Work with management team in highlighting opportunities in customer service (both B2B and B2C). 
  • Work with Inventory Manager in improving B2B processes through integrations and documenting best practice. 
  • Work with the Head of Operations to develop and identify opportunities for process improvements


Qualifications, Experience & Skills Required 

  • Previous experience in supply chain preferred 
  • Experience in customer service 
  • Exceptional attention to detail and organisational skills. 
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
  • Experience with ERP system or similar inventory, accounting, and CRM platforms.
  • Ability to manage competing priorities 
  • Understanding of the importance of controls and procedures.
  • Proactive, able to manage own workload and ensure deadlines are met.
  • Good verbal and written communication skills, confidence to speak to customers 
  • Reliable, enthusiastic and conscientious with the ability to adopt a common sense and flexible approach to supporting the business.
  • A self-starter who works well as part of a small team.
